The role and candidate

We are looking for a candidate who is equally well qualified and experienced to fulfil a highly varied role that includes:
  • office administration and financial planning and management;
  • research tasks;
  • direct engagement with stakeholders and developing rapport with senior officials;
  • planning for and supporting the delivery of engagement activities, including capacity building. The person will be expected to highly effectively manage office and project administration in all respects as core responsibility, under the direction of the Senior Business Manager.
The person will also be responsible for developing highly effective working relationships with key Indonesian Government counterparts and a broad range Indonesian transport sector and industry officials. In this regard, the person will work directly with the Counsellor and the First Secretaries, guided and directed by the Senior Business Manager.

The person will be expected to research and analyse transport sector and intra-governmental matters and provide advice, information and judgements. The person will already have the skills and experience necessary to logistically develop and directly support the delivery of capacity building activities, under the direction of the First Secretaries and the Senior Business Manager.

The person would work closely with the Counsellor and the First Secretaries on various matters and would have excellent Bahasa Indonesia and English language skills, sufficient to undertake translation and interpretive language functions, including during senior meeting and during capacity building activities.

In all the respects outlined above, the person will understudy the role of Senior Business Manager.

The person would be able to work extended hours as necessary and would be able to travel, on occasions, for 1-2 weeks in support of the delivery of capacity building activities. The required qualification and skills are specified in the attached position description.

Who we are

DIRD at the Australian Embassy Jakarta currently consists of three Australian based staff (Abased) and four local personnel. The department works closely with the transportation sector in Indonesia, including both government and industry, to deliver mutual economic benefits associated with enhanced cooperation in the areas of transportation security, transportation safety – including through a significant annual capacity building program, and bilateral market development.

About the Department of Infrastructure and Regional Development (DIRD)

The Department of Infrastructure and Regional Development is responsible for the design and implementation of the Australian Government's infrastructure, transport and regional development policies and programmes. We seek to work with key international counterparts and industry to foster efficient, sustainable, competitive, safe and secure transport systems. 

About the position

This position works as part of a small team primarily focused on transport security and safety engagement, transport industry investment and infrastructure enhancement. The position will liaise with the Ministry of Transportation, airport and port operators, and the aviation and maritime industry in Indonesia.

The key responsibilities of the position include but are not limited to:

  • Undertake research, analysis and provide advice and recommendations on key transport sector developments and matters in Indonesia including transport security engagement, broader work on transport safety, transport markets and transport infrastructure investment
  • Monitor media and report on developments in the transport sector
  • Provide project management support to A-based staff by identifying and contracting providers, managing project budgets, event management and organising all associated logistics (travel, venue bookings, etc)
  • Build and maintain strong stakeholder networks, including with relevant government agencies, key industry associations, transport sector business and individuals necessary to progress key portfolio priorities
  • Manage the administration of the DIRD office at the Embassy
  • Provide high-level translation and interpreter support for DIRD staff and visiting delegations
  • Provide high-level administrative and logistical support and coordination for visiting ministers and officials


  • Demonstrated professional/technical qualifications or specialist expertise, knowledge or experience in program or project management. University-level qualifications in a relevant field would be an advantage
  • High-level written and oral communication skills in English and Indonesian, including superior translating and interpreting skills
  • Demonstrated strong experience in stakeholder management and representational skills • Very strong administration experience in managing an office environment, including in managing logistics and contracts, and financial management, monitoring and reporting
  • Sound judgement to organise multiple tasks and competing priorities, and initiative, flexibility and good problem solving skills
